Job status meanings, the most common problems, and how to find your Worker ID. If something here doesn't solve it, contact us directly.
Every job you see in the local dashboard or the AI Worker tray icon is in one of these states.
The job has been created and is waiting for the AI Worker to pick it up. This normally takes a few seconds.
Your AI Worker has picked up the job and is actively processing it — reading the document, extracting fields, or matching transactions. Everything happens on your own computer.
Processing finished and results are ready for your review in the local dashboard. Nothing is submitted or written anywhere until you approve, correct, or reject it.
The job finished successfully and, where applicable, was approved. No further action is needed.
Something went wrong — a document couldn't be read, a required capability was missing, or the job timed out. Open the local dashboard's History tab to see the specific reason.
Six issues that come up most often, and the quickest way through each one.
Double-click the AuxinVas Worker shortcut on your Desktop. If nothing happens, the tray icon may already be running invisibly — check the hidden icons area next to your clock first. If it's genuinely stopped, close any leftover AuxinVas Worker process from Task Manager, then relaunch from the Desktop shortcut.
Windows hides inactive tray icons by default. Click the small arrow (^) next to your clock to show hidden icons — the AuxinVas leaf logo will be there. You can drag it out to keep it always visible.
Open the local dashboard (see below) and check the History tab for the exact error message — most failures name the specific document or missing capability. If it mentions OCR or a scanned document, the OCR capability pack may need reinstalling; contact us and we'll walk through it together.
The dashboard only runs on your own computer, at http://127.0.0.1:18080 — it will not open from any other device. Right-click the tray icon and choose "Open Dashboard", or type that address directly into your browser while the Worker is running.
This is expected — the AI Worker never approves anything for you. Open the local dashboard's Inbox tab, review the extracted fields, and click Approve, Correct, or Reject. The job will stay there until you act on it.
On most machines the AI Worker restarts itself automatically. If you don't see the tray icon within a minute of logging back in, double-click the Desktop shortcut to start it manually.
Open the local dashboard at http://127.0.0.1:18080 — your Worker ID is shown in small text directly under the AuxinVas logo at the top of the page (for example, aaia-yourcompany-a1b2c3). Have this ready when you contact support; it tells us exactly which machine you mean.
Email info@auxinvas.gr with your Worker ID and a short description of what happened. We'll get back to you.
